The rules explained. A handbook for members.

The Term for Committee Members

How long may committee members remain on the committee? How do we ensure continuity and turn over at the same time?

The maximum term for each committee person is three years if re-elected. At least half the committee needs to be re-elected each year and at least one quarter may not be re-elected to allow for continuity.

This rule was written to allow for continuity and replacement of the committee to ensure change and new ideas.
We tried to figure out exactely what this meant and here is how we interpret them.

At every AGM all committee members are up for re-election unless they have completed the three year maximum term. If this is the case, they may not be re-elected.

New members and existing committee members are elected.

The top half of the existing committee as ranked on votes are deemed to be elected, even if others are voted above them to allow for continuity.

Approximately one quarter of the committee must change each year. Therefore, once those who have resigned are taken into account, those committee members who gained the least number of votes (up to half the committee or approximately four people) will not be elected to the committee. This is to ensure changeover.

Complicated but not too bad. Otherwise it's in on your ranking in the votes.

As an example. C represents an existing committee member and M represents a member who wishes to be elected to the committee.

If after voting the results were ranked like this...

C C C C C C C C C M M M M M M then the last three existing committee members would not be re-elected to allow for new people onto the committee. The committee would be those letters in bold and those in italics would not be part of the new committee.

If after voting the results were ranked like this...

M M M M M M M M M M C C C C C C C C C then the first 4 committee members would be on the new committee to allow for continuity. The committee would be those letters in bold and those in italics would not be part of the new committee.
